Delegations

Members of the public who wish to speak to Council on a matter will make the presentation, also referred to as a Delegation, at a Committee of Whole Meeting. Delegations are at the beginning of the Committee of Whole Agenda which begins shortly after 7:30 p.m.

Committee of Whole Meetings are held on the 2nd and 4th Monday of each month in the Council Chambers located in the Municipal Office at 600 Tomlinson Drive, Port Elgin. If Monday is a holiday, it automatically moves to the following Tuesday.  Please refer to our Council Calendar for upcoming meeting dates.

What is the Process if a member of the Public wanted to make a presentation to Council?

15 minutes prior to the each Meeting, beginning at 7:10 p.m., a Open Forum will be offered to any person to provide comments on the subjects related to items on the evening's Agendas.  Each person wishing to address Council, will be required to sign a register.  Each person shall be limited to three (3) minutes.  Questions of clarification may be asked of the speaker.  No formal record of the submissions during the Open Forum will be made.  The Open Forum will end at 7:25 p.m.

Saugeen Shores Council may also hear up to four (4) Delegations during the Meeting.  Any person wishing to address Council, shall contact the Town Clerk at least one week prior to the meeting to ensure availability. Please state the reason you are appearing, the solution or action you are seeking, and the reason for your request.  Requests are considered in the order in which they are received.

Once the Clerk authorizes the Delegation, a written submission outlining the presentation (ie: Letter, Power Point Presentation) must be submitted to the Clerk's Department no later than 12:00 noon on the Wednesday prior to the meeting.   Presentations may be emailed or provided on a memory stick.

Delegations are limited to a maximum time of 10 minutes, 15 minutes if discussing on behalf of a group.  Presentations will be brief and to the point. 

Council and Staff will then have the opportunity to ask you any further questions.  You will be informed of Council's decision when it is made.
