Clerk's Office
The Clerk's Department is comprised of the Clerk-Linda White, Deputy Clerk-Tracey Edwards, Secretary/Receptionist-Rhonda Harrison and Secretary/Files Clerk-Lynne Steingart. The Clerk’s Department is responsible for ensuring that all departments are aware of the policies and procedures adopted by Council.
Corporate Management and Support Services for Council & Committees
- Co-ordination between Council and Administrative Departments
- Conduct Staff Meetings to advise Clerk and Treasury departmental staff of Council’s policies and implementations of the same
- Liaison with agencies and other levels of government
- Communicate the decisions and policies of the Council to the public via various forms of media
- Preparation of Council Agenda - Minutes and Correspondence
- Provide assistance to complete the special projects that have been approved by Council
- Staff members are required to attend meetings and training seminars, prepare reports and make presentations as part of the information gathering and dissemination process

Closed Meeting Investigation
- Responsible for the preparation and enforcement of Animal Control By-laws
- Responsible for receiving calls pertaining to animal control services and relaying complaints to the Animal Control Officer
- The Animal Control Officer, Livestock Valuers and Pound Keepers report to the Clerk
- Responsible for the researching and drafting municipal by-laws
- Responsible for receiving complaints and inquiries regarding by-law enforcement issues and relaying complaints to the By-law Enforcement Officer
- The By-law Enforcement Officer reports to the Clerk
- Conduct municipal elections as per the requirements of the Municipal Elections Act
- The Clerk’s Department acts as the resource person and secretary to the Municipal Heritage Committee (LACAC)
- Issuance of Lottery Licenses, General Licenses and Permits to be completed in accordance with specific Acts and/or the policies of Council
Municipal Act and Other Legislative Requirements
- To inform Council and Committees thereof of changes and requirements of the Municipal Act and other legislative requirements
Planning and Development
- To assist and advise Council and the public on Planning and Development issues
- A Planning Advisory Committee has been established to review and recommend zoning amendments, minor variances and official plan amendments
- Liaison with other agencies and departments such as the Bruce County Planning Department and Saugeen Valley Conservation regarding development agreements
- Co-ordinates the preparation of Subdivision Agreements and arranges meetings with developers, engineers and other agencies as required
Media & Public Relations
- To advise the public of Council’s policies and goals and to ensure that the Corporation’s business is carried out in a professional manner
Records Management
- To maintain a records management system for the Corporation and to ensure the safe keeping of documents

Freedom of Information and Protection of Privacy Act
The Town of Saugeen Shores endeavours to provide as much information as possilbe to the public without the necessity of submitting a formal Freedom of Information Request.
The Municipal Freedom of Information and Protection of Privacy Act provides individuals with a right of access to certain records under the custody and control of the Municipality. The Act also provides that certain costs can be charged for access to information, for example photocopy costs. Applications are available at the Municipal Office.
