Speaking Before Council

Open Forum

If you’d like to speak on an agenda item, you can do so during the Open Forum at the start of the meeting. Speakers must register and are limited to three minutes. Contact the Clerk's Division at 519-832-2008 Ext. 100 or email. 

 If you require assistance with accessibility, please contact the Clerk's Division so staff can ensure accessibility needs are met. 

Delegations

If you want to make a presentation to Council as a group or individual, follow these steps: 

  1. Contact the Clerk's Division at least a week before the meeting (519-832-2008 x100 or email). There is a limit of three delegations per meeting. 
  2. State your reason and the action you’re seeking. 
  3. After authorization from the Clerk, submit any materials (letter, outline, PowerPoint) by 12 p.m. (noon) on the Monday before the meeting. You can submit this through a letter, email or memory stick. 

Delegations are held on the second and fourth Mondays of each month at 6:30 p.m. in Council Chambers, 600 Tomlinson Dr., Port Elgin. Check the Meetings Calendar for dates.

  • Presentations are limited to 10 minutes, regardless of how many people are speaking. 
  • Direct your presentation and answers to the Chair. 
  • Council members will ask for clarification from delegates, not engage in debate. 

Meetings are recorded and televised, so always use the podium and microphone. Push the red button to turn it on. 

If you’re using slides or other materials, submit them to the Clerk by noon on the Monday before the meeting. Test your materials to ensure you stay within the 10-minute limit. 

The Clerk will have your presentation ready for you to use when you arrive at the meeting. 

  • Use font sizes 12-18 (e.g., Helvetica, Arial). 
  • Avoid ALL CAPS, use Bold for emphasis. 
  • Provide full names for acronyms the first time used. 
  • Use high-contrast color combos (e.g., black on white, white on black). 

Notice of Collection of Personal Information

Any communication with Council or Committees becomes part of the public record and may be included in public agendas and minutes, which are posted on the Town’s website.
